You can update the number of team users in your Virtual Practice, any time.
What does pro-rata billing mean?
Prorated billing means that you would be billed for the additional team user only for the period they have access to your Virtual Practice.
Every plan has a number of included users. When you add an additional team user, you will be charged a per-day amount for the days that the new team user has access to your Virtual Practice in the current subscription plan. When you remove an additional team user, no amount will be refunded, but it will be adjusted accordingly in your next subscription bill.
The subscription plans have different billing cycles as can be seen from the Pricing page. This article explains how the subscription amount gets calculated for each billing cycle when an additional team user is added or removed.
Monthly Billing option
If you’ve subscribed to a plan with a monthly billing option, you will be billed in the following method:
Adding Team Users: If you add a team user in between a billing cycle, you will be charged only on the next monthly billing date. You will be charged a prorated amount for the remainder of the subscription period for which the team user had access, as well as for the forthcoming month.
For example:
Suppose you have subscribed to a plan with a monthly billing option on 1st January. You add a team user (say, USD 10/user/month) to your Virtual Practice on the 15th of January. You would then be charged an additional amount of USD 5, for the new team user’s access for the remaining 15 days + Plan subscription charges for the next billing cycle paid on 1st February.

Removing Team Users: If you remove a team user in between a billing cycle, the prorated amount for the days the team user did not have access to the Virtual Practice, will be deducted from your next subscription billing.
For example:
Suppose you have subscribed to a plan on a monthly billing option on 1st January. You removed a team user (say, USD 10/user/month) from your Virtual Practice on the 15th of January. The prorated amount for the remaining 15 days will then be deducted from the next subscription billing due on 1st February.

Other Billing options
Billing options include quarterly, semi-annual, annual, biennial and triennial billing. If you’ve subscribed to a plan in any of the above billing options, you will be billed in the following method:
Adding Team Users: If you add a team user in between a billing cycle, you will be instantly charged for the full remaining commitment for that team user in the chosen billing cycle.
For example:
Suppose, you have subscribed to a plan with an annual billing option on 1st January. 3 months later, you added a team user (for example, USD 10/user/month x 12months = USD 120/year) to your Virtual Practice. You would then be charged an additional amount of USD 90 (USD 10/user/month x 9 months) instantly, for the new team user’s access for the remaining nine months of the annual commitment.

Removing Team Users: If you remove a team user in between a billing cycle, the amount prorated for the remaining period after the team user was removed, will be deducted from your next subscription billing.
For example:
Suppose you have subscribed to a plan with an annual billing option on January 1st, 2020. 10 months later, you remove a team user (say, USD 10/user/month) from your Virtual Practice. The prorated amount of USD 20 for the remaining two months of the team user’s annual commitment will be adjusted from your next subscription renewal on Jan 1st, 2021.

These examples are simplified for the sake of clarity – any of these charges would be prorated to the day any Team users are added or removed. Please also note, that prorated charges will be adjusted against the next subscription billing, and will not be refunded.
